A Smarter Way to Manage Recreational Hockey

We partnered with House of Wolfs Hockey to modernize their internal system, originally manual and fragmented, into a fully automated game and group management platform. Focused on recreational hockey across the US, the platform lets players register, manage passes, join teams, get updates, and handle cancellations, all in one place.

The Challenge

From spreadsheets to smart scheduling.

The client used a manual system for everything: group creation, scheduling, cancellations, and communication with players. This made it nearly impossible to scale efficiently. We had to build a system that could automate complex processes, work with independent APIs, and maintain reliability. Every interaction, from booking a spot to cancelling a game needed to trigger logic across multiple modules, without disrupting the player experience.

House of Wolfs wanted to empower players to:

Receive automatic messages and credit when changes occurred

The vision extended to staff as well: give administrators full visibility and communication tools to interact with players and manage logistics with ease.

Our Approach

Built in modules. Designed for scale.

We tackled the project in 5 structured phases:

System Audit: Analyzed the legacy workflow and redesigned the data structure.

Chat Module: Created a centralized conversation system for all customer messages.

Email System: Designed scalable logic to send thousands of targeted emails.

SMS System: Extended messaging to mobile with automated alerts and confirmations.

Full Automation Layer: Linked all modules with smart triggers to automate every part of the ecosystem, from registrations to cancellations, refunds and reintegrations.

React and React Native powered the front end, and MongoDB and Google Cloud Storage handled data and asset management at scale.
